About this policy

This policy explains how the operator of this MaintainM8 deployment handles information when you use the property-maintenance planning and record-management service. The operator is the organisation or person that provided your access to this deployment.

Information MaintainM8 handles

MaintainM8 stores account details such as your name, email address, role, preferences and account status. It stores the property names and addresses you enter, property access assignments, maintenance tasks, schedules, priorities, checklists, notes, completion history, costs and uploaded supporting files such as receipts, photos, documents, manuals or warranties.

The service also processes reminder and notification preferences and delivery records, along with limited technical information needed for sessions, remembered devices, password resets, security, diagnostics and application operation.

Authentication information

For local accounts, MaintainM8 stores a protected representation of the password rather than the plaintext password. When you choose Google, Microsoft or Apple authentication, that provider may send MaintainM8 a stable provider identifier, email address, verification status, and name or profile information where supplied. MaintainM8 does not receive your Google, Microsoft or Apple password and does not store provider OAuth access or refresh tokens.

How information is used

Information is used to provide and administer MaintainM8, authenticate and secure accounts, control access to accounts and properties, manage maintenance information and attachments, send configured notifications, diagnose failures, protect the service and improve its operation.

External services and disclosure

If you choose external authentication, information is exchanged with Google, Microsoft or Apple as necessary to complete that authentication. Configured email infrastructure may process recipient addresses and notification content when MaintainM8 sends password-reset, reminder or report emails. Information may also be disclosed where required by law, to protect users or the service, or to service providers engaged by the deployment operator. The providers and hosting arrangements available to a deployment depend on its operator.

Retention and deletion

MaintainM8 retains information while it remains in the service and as needed for its operation. Some records are removed when their parent account, property, task or user is deleted, but the current product does not provide a self-service account-deletion workflow or promise a fixed automatic deletion period. Contact the operator of your MaintainM8 deployment using the contact details they supplied if you want to request access, correction or deletion. The operator may need to retain information where required for legitimate operational or legal purposes.

Security

MaintainM8 uses access controls and other technical safeguards intended to protect information. No internet service can guarantee absolute security, and you are responsible for protecting your sign-in details and devices.

Your choices

You can update applicable profile and notification preferences in MaintainM8. You may use local authentication where offered or choose an enabled external provider. External providers manage their own privacy practices and account controls.

Changes and contact

This policy may be updated as MaintainM8 or the deployment changes. The effective date above identifies the current version. Questions and privacy requests should be sent to the operator using the support or contact details supplied for your MaintainM8 deployment; this application does not publish a universal operator email address.
